TECHNOLOGY & DATA / IWMS
IWMS consulting for complex workplace and real estate environments.
Properties Solutions Group supports organisations in defining, implementing and optimising Integrated Workplace Management Systems across complex and international real estate environments.
Based in Luxembourg and working across Europe and international project environments, PSGroup combines workplace knowledge, real estate operations, data management and technology expertise to support IWMS projects from strategy through implementation and ongoing operations.

From strategy to operation
An IWMS project starts with an understanding of the organisation’s responsibilities, property portfolio and working practices. PSGroup helps clarify the intended outcomes, document requirements and assess how a platform could support them. Platform assessment and selection support consider functional needs, available information, interfaces and the teams who will operate the system. Functional design then translates those requirements into roles, processes, configuration and a practical implementation scope.
We support configuration and implementation alongside data preparation and migration. Space management, move management, maintenance, service desk and asset management each depend on clear responsibilities and usable workflows. We help relate these activities to shared building information, employee records and organisational structures. CAD and BIM integration, reporting and dashboards are considered within that same operational picture, together with interfaces and data integration between the IWMS and other systems.
Testing and user acceptance testing give client teams a structured opportunity to check the resulting processes and information. PSGroup helps prepare scenarios, review outcomes and follow issues through resolution. For upgrades, we support preparation and validation of the functions used in daily operations. User adoption, operational support and continuous optimisation extend the work beyond implementation: reviewing how the platform is used, clarifying guidance and adjusting configuration or data where operational needs evolve.
Data before technology
The usefulness of an IWMS depends on the reliability of its underlying information. Building, floor and room records provide the physical structure, while employee, organisational, asset and operational data describe how that structure is used and maintained. Inconsistent identifiers or incomplete relationships can make it difficult to locate people, interpret reports or follow service activity. PSGroup works directly with data structures to understand those relationships and establish a consistent basis for configuration and migration.
Our work can include reviewing CAD plans, BIM information, room classifications, naming conventions and the rules used to connect drawings with database records. We help examine source information, prepare mappings, identify gaps and organise migration processes with the people responsible for the data. Validation considers both the records themselves and their intended use. A room code, for example, needs to remain understandable across a drawing, a space record and the operational process that refers to it.
This attention continues as buildings, teams and operating requirements change. Ownership of the information, update procedures and checks help maintain consistency after the first upload. The connection with CAD & BIM therefore remains part of the operating model. Where appropriate, structured information also provides a foundation for AI & Data applications, with attention to data quality, access and human review.

Workplace and real estate expertise
PSGroup approaches IWMS through the way workplaces and properties function in practice. A space record is connected to occupancy, space utilisation and the location of employees. A service request is connected to a user’s needs, an operational responsibility and the information required to complete the task. These relationships influence how processes should be designed and how teams interpret the information available to them.
We bring workplace and real estate experience into discussions about employee location, workplace services, maintenance and asset information. This helps relate platform configuration to the activities carried out by facilities teams, workplace managers and other operational users. Clear operational processes are considered alongside the data and drawings that support them. The aim is to make information usable in planning, coordination and daily decisions, while respecting the organisation’s own responsibilities and working arrangements.
An IWMS may also sit within a wider digital building environment. Smart Building & IoT information can complement recorded occupancy and operating data when there is a defined use case and an appropriate integration. PSGroup helps clarify how these sources relate to existing workflows and reporting needs. The platform remains connected to the building and its users, with technology choices assessed against practical operational objectives.
International environments
Multi-building and multi-country environments require a common structure without losing the detail needed for local operations. Building identifiers, organisational records and reporting conventions need to be understood across teams, while workflows must account for the responsibilities of each location. PSGroup supports these discussions in international project environments, helping client teams identify what should be shared and what requires local configuration or guidance.
Coordination can involve workplace and facilities teams, IT stakeholders, integrators, software providers and the people responsible for maintaining data and drawings. We help clarify dependencies, organise functional exchanges and follow issues that span more than one area of responsibility. Documentation and test scenarios provide a common reference for decisions, particularly when data changes, platform updates or new buildings affect existing processes.
Our involvement is defined around the client’s scope and the stakeholders already in place. We can support an implementation, review an existing environment or accompany a programme of gradual improvement. For organisations using Archibus, this includes specific work on configuration, data, CAD and operational workflows. Based in Luxembourg, PSGroup maintains an independent advisory perspective while working with the client’s project and operational teams across locations.
